Course Status (instructions)

Planning, registration and approval of courses

To publish a course, the following statuses must be entered:

  1. Planning (status: planned)
  2. Registration (status: registered)
  3. Approval (status: approved)

Only approved courses will be considered for semester transfer.

1. Planning

When a new course is created or copied, it initially has the course status “planned”. You can find out how to create and maintain courses on the following page:

2. Registration

Registration status and registration criteria

To register a course, the following information must be provided:

  • Appointment
  • Lecturer
  • Location
  • Category (online, in-person, ILIAS course, etc.)
  • Key competencies and evaluation

In the course administration list, the traffic light status indicates whether a course can be registered or not. Click on this to obtain more detailed information, e.g. which data records are missing or incorrect: 

  • A green traffic light means that the course fulfills all registration criteria and can be registered.
  • An orange traffic light means that there are no lecturers recorded and therefore the course cannot be registered.
  • A red traffic light means, for example, that no appointment has been entered and the course cannot be registered.

As soon as the planned course meets the registration criteria defined by the system, it must then be registered.

Register a course

Step 1: Complete registration

If all criteria have been met and a green traffic light is displayed, call up the Course Administration app. Here you can call up the registration via the ribbon at the top by clicking on “Operations”.

Step 2: Mark individual courses or select mass registration

In the “Status” column, you can now either select individual courses or, at the bottom of the page, select all courses. You can send a mass notification to the entire organizational unit using the gray menu box in the top right corner. Confirm the registration by clicking the “Enter” button at the bottom of the page.

Please note:

  • Registered courses are displayed with a tick in the course survey list.

3. Approval

Registered courses must be approved so that they are visible to all participants (including students).

Approving Courses

Step 1: Approval procedure

Call up the Course Administration app. You can call up the Approval in the ribbon at the top under Operations.

Step 2: Mark individual courses or carry out mass approval

In the “Status” column, you can now either select individual courses or, at the bottom of the page, select all courses. You can perform a mass approval for the entire organizational unit using the ribbon at the top. Confirm the registration by clicking the Enter button at the bottom of the page. 

Approved courses are then displayed with two green ticks (registered and authorized) in the course administration list.

Please note

  • If a course is rejected, i.e. the check mark is set to “No”, then all existing appointments and, if applicable, booked rooms for this course will be deleted.
  • Approval of a course cannot be withdrawn.
  • Approved courses are displayed for students and anonymous visitors to C@MPUS in the “All Courses” app.

Only approved courses will be considered for semester transfer. All other courses can be copied individually from the respective academic years as required. 

FAQ on Course Administration

First go to the “My Course Administration” app.

  • Course Timetable Coordinator: Click on “Rights-based survey” at the top of the ribbon. You will now see all courses of the organization for which you have the rights as Course Timetable Coordinator.
  • Lecturers: Click on “My courses” at the top of the ribbon. You will now see the courses for which you are registered as a lecturer.

  1. Courses can be assigned to various modules. This means that it is often not clear which module description should be copied into the course.
  2. Modules can consist of several courses. This raises the question of whether the same text should be copied into the lecture, the exercise and the practical course. In the case of two-semester modules, the same text would also be copied for the winter and summer semester courses, even though they deal with different topics.

No, students are not shown the “Exam details” section.

The following reasons may explain why a person cannot be found:

  1. If the contract with the person has not been finalized, enter a temporary position and assign it to the course. Replace the temporary position with the real person as soon as they are in the system.
  2. If the person comes from a cooperating institution, e.g. University of Hohenheim, University of Tübingen, Ludwigsburg University of Education, State Seminars: Enter a temporary position and report the person with title, date of birth and cooperating institution to Division 1.
  3. If the person has already retired but is still teaching: Enter a position and report the person to Division 4 (Personnel). In the case of retired professors, a corresponding employment contract is drawn up by the relevant faculty.

Yes, the selected option is copied from winter semester to winter semester and from summer semester to summer semester.
