C@MPUS documentation for employees

Create and manage courses: Properties (parameters, categories, description, status, people (supervisors and lecturers)), enter and edit groups and appointments and set ILIAS links.

Start of the course planning phase

When the semester is transferred, the most important information from the previous year (transfer is always from winter semester to winter semester and summer semester to summer semester) is transferred and displayed in the “My courses (under your organization)” app.

A circular email is sent to notify course timetable coordinators about the start of the planning phase. This email contains the most important data and information for the creation of new courses and any changes to existing courses. The email is sent out at the beginning of November for the summer semester and at the beginning of May for the winter semester.

What are the responsibilities of course timetable coordinators?

Because the course organization is transferred from one semester to the next, this gives the course timetable coordinators a foundation for planning the upcoming semester. The process for making changes can be divided as follows:

Creating a new course

Create a new course (or divide identity codes):

  • If the number of SWS or type of course changes
  • If the course needs to be assigned to a different module than in previous years.
  • If the content of the course is no longer comparable with the course from the previous year. 
  • If all details of an existing course need to be changed.

Edit courses

Edit the course if the course content remains comparable to the course from the previous year. For example if only the following change:

  • Course number
  • Course title
  • Organizational unit offering the course
  • Lecturers or supervisors
  • Appointments
  • Number of groups or participants
  • References or other minor changes to the description

Roles and authorizations - Who can do what in C@MPUS?

Depending on what administrative authorizations you hold in C@MPUS, you may not have access to certain apps or submodules. If you cannot access certain applications, it is important to check in C@MPUS to ensure that you have been grated the necessary authorizations.

Below you will find an overview of the course administration authorizations and where you can apply for any missing authorizations.

As with the other C@MPUS instructions, the course management section is divided into app descriptions and instructions. If you have not used it before, we recommend that you first read through the app description and familiarize yourself with it and then read the instructions.

FAQ on Course Administration

First go to the “My Course Administration” app.

  • Course Timetable Coordinator: Click on “Rights-based survey” at the top of the ribbon. You will now see all courses of the organization for which you have the rights as Course Timetable Coordinator.
  • Lecturers: Click on “My courses” at the top of the ribbon. You will now see the courses for which you are registered as a lecturer.

  1. Courses can be assigned to various modules. This means that it is often not clear which module description should be copied into the course.
  2. Modules can consist of several courses. This raises the question of whether the same text should be copied into the lecture, the exercise and the practical course. In the case of two-semester modules, the same text would also be copied for the winter and summer semester courses, even though they deal with different topics.

No, students are not shown the “Exam details” section.

The following reasons may explain why a person cannot be found:

  1. If the contract with the person has not been finalized, enter a temporary position and assign it to the course. Replace the temporary position with the real person as soon as they are in the system.
  2. If the person comes from a cooperating institution, e.g. University of Hohenheim, University of Tübingen, Ludwigsburg University of Education, State Seminars: Enter a temporary position and report the person with title, date of birth and cooperating institution to Division 1.
  3. If the person has already retired but is still teaching: Enter a position and report the person to Division 4 (Personnel). In the case of retired professors, a corresponding employment contract is drawn up by the relevant faculty.
