Recording Grades

C@MPUS documentation for employees

Conducting an assessment includes exporting and importing assessment lists, printing the exam protocol, and validating the assessment.

Examiners can use the examination management system to assess examinations, print examination protocols and validate assessments.

On this page you will find step-by-step instructions on how to enter grades in C@MPUS and what assessment options are available. You can find instructions on how to correct grades and enter the oral continuation exam on the Correct Grades page.

Recording Grades (step-by-step instructions)

1. call up the “Assess Exams” app and candidate list

Open the “My Exam Management” app on your start page and click on the “Assess Exams” app. Select “My Exam Dates” from the drop-down menu in the organization. If necessary, use the ribbon at the top of the editing view to switch to “Assess” and the assessment status “In Progress”.

Call up the list of candidates by clicking on the Assess button in the “Operations (for selected exams)” column for the relevant examination date.

2. Carrying Out the Assessment

The examination regulations define how coursework and examinations may be graded. Please refer to the relevant examination regulations to determine the permissible grading scale and decimal places. These regulations are typically outlined in §§15, 16, or 17 under the title Assessment of Coursework and Examinations, Module Grades. For final theses, additional details can be found in the corresponding section.

You can either assess individual or multiple students within the system or by exporting an Excel file:

You can evaluate individual students by selecting the evaluation in the “Grade” column via the drop-down menu.

If you would like to assess several students, select the desired students using the checkboxes. Then click on the editing pencil in the “Grade” column and use the drop-down menu to select the assessment for the selected students. Then click on Save and Close.

If you would like to give all students the same grade, click on the editing pencil in the “Grade” column, select all students in the “Apply to Candidates” area and set the grade using the drop-down menu. Then click on Save and Close.

Either click on the “Export / Import” button in the “Export / Import” column. Check the preselected settings and confirm your selection with the Export button.

This opens a pop-up window. When selecting the “CSV for Excel” format, click the displayed link to download and save the file locally. Be sure to check your browser’s download settings for the file location.

Please enter the assessments in the downloaded Excel file in the “Grade” column only.

To import the edited file back into C@MPUS, click on “Export / Import” again, then on the “Browse” button and select the file you have changed. Now click on the “Import” button to upload the file.

Check the transferred data and then confirm the import again by clicking on the “Start Import” button.

3. Create Exam Protocol

The examination record is generated only for candidates who have been assessed and have an entered examination date.

A copy of the examination date is generated for candidates who have not yet been assessed. If not all candidates have been assessed, you will be notified accordingly.

Select the exam report in the ribbon at the top under “Print” and then click on the PDF symbol directly next to the drop-down menu. Click on the "Execute" and "Print Protocol”.

4. Set Exam to Valid

Click on "Valid" in the ribbon at the top of the screen.
If necessary, mark the exams you wish to validate with a tick. Confirm your selection by clicking on "Next". A window appears with status information on which exam dates have been set as valid. To complete the process, click on the "Complete" button.

 

Important Information

General Information

  • Grades are only displayed to students after they have been validated.
    Exception: Entry of Z - not permitted. After saving, a corresponding message is displayed to students when they register for examinations. Z can still be corrected even after the validation check has been completed.
  • Examination dates that have not been set as "Valid" before the next examination registration phase may lead to the assignment of an “administrative five.”
  • Grades must be entered and the examination validated before the next examination registration period. Otherwise, students will be unable to register for a repeat examination, and the deadlines for retaking exams will be miscalculated.
  • As a rule, theses must be assessed within two months. This is also regulated in the examination regulations.
  • Grades can be made available for student viewing without requiring validation. Please remember to validate the service before the next examination registration phase.

As long as only a preliminary assessment is available, final documents (e.g., certificates) cannot be generated for the student. Therefore, please ensure that the final grade or assessment is entered as soon as possible.

For ungraded examinations/coursework (SL), only the grade suffixes N or Z are permitted!

FAQs on Exam Administration

You need a PIN code to open the “Exam Management” app. When you open the application for the first time, you will receive this in a pop-up window in your browser.  Please write this number down. If you have forgotten your PIN code, please contact the study program manager or Division 3 using the contact form. They can reset the pin code and you will receive a new code. You can change this again in the exam management settings. 

In order to see and use certain apps in C@MPUS, your authorizations must be stored in C@MPUS.  You can only access the relevant apps if your role(s) or authorization(s) are correctly stored in C@MPUS. Please take a look at the overview of C@MPUS authorizations. There, under the individual topic (rooms, examinations, courses, modules), we have listed which roles have which authorizations. Then check in the “My Authorizations” app whether the required authorizations have been entered correctly. If this is not the case, please contact the contact persons listed there to clarify your request.

If a fail grade has been marked as valid, you will no longer be able to modify the grades yourself. In such cases, please contact the Examinations Office. You can send a PDF file with the names, student ID numbers and grade changes to the Examinations Office and the changes will be entered for you. Please do not forget your signature and your institution stamp!

Counting attempts can sometimes be a little confusing. Questions may arise, in connection with counting oral repeat examinations. Therefore, a brief explanation of the system's behavior is provided.

C@MPUS counts every assessed, valid exam attempt. For example, withdrawals due to illness or withdrawals approved by the examination board are not assessed. Non-graded assessments are recorded as “Q - No Assessment” in C@MPUS.

If an oral repeat examination is scheduled, this attempt is not graded initially (as the oral examination has not yet been assessed). The number of exam attempts is only increased after the oral examination has been assessed.

This is necessary because, otherwise, the increase in the number of exam attempts for a repeat oral examination could potentially reach the maximum allowed attempts, resulting in the student being marked as EN (a negative grade).

In such cases, an examination report can only be generated by an authorized person from Division 3. The reason for this is that the student has changed subjects and is no longer enrolled. Please contact the support of Department 3 via the contact form.

It is possible to create the list of candidates via the Excel export and then filter them in Excel.
