As an examiner or authorized person, you can create a new decentralized exam date in the exam planning service's editing screen and arrange the room reservation for the exam.
General Information
For decentralized examination planning objects, the semester transfer automatically generates examination dates without a specified due date. This is sufficient for exam registration. However, according to the examination regulations, students have the right to withdraw from certain examinations up to 7 days before the examination.
Therefore, in the interest of the students, please be sure to enter an examination date!
Please also note the information on entering dates below.
Create, Edit and Delete Exam Dates
To create or edit a decentralized exam date, open the “My Examination Management” app and select “My Examination Dates” from the drop-down menu for the organization. Then click on Exam Planning Service. Then click on the gray arrow to open the examination planning object (PPO).
If a new exam date needs to be created, click on the green plus symbol on the far right. The editing template for exam dates will now open.
If you would like to edit the exam date, click on the editing pencil on the far right. You can make changes to the exam date in the editing template, as long as this is technically possible. Default settings cannot be overwritten.
For decentralized exam dates, the examiner can delete the date by removing it, canceling the room reservation if necessary, and finalizing the process by selecting “Save".
Important information about individual examination types
- Are only created when the first exam date has already taken place
- Are thus created after the central examination registration deadline
- The central deadlines for the start and end of registration may NOT be changed so that they are in the past
- This means that it is not possible for students to register for repeat exam dates online, but only via the Examinations Office
- Repeat examination in the following semester/year: Normal examination date!
Important information:
- In the online view, the box "Display for Students" must be selected; otherwise, the appointment and associated examination results will not be visible to students.
- The text "Repeat Examination" or "Second Exam Date" must be entered in the “Registration Info” field. Students can see the content of the “Registration info” field when registering for exams and in the overview list of their registered exams.
- Can be created at the same time as the first date
- Registration can be carried out online.
- Students have the choice of registering online for either the first or second date (however, after a 5.0/NB in the second date, it is only possible to repeat the course in the next semester or year).
Important information:
- In the online view, the box "Display for Students" must be selected; otherwise, the appointment and associated examination results will not be visible to students.

Examinations that cannot be registered online are, for example, certain practical assessments or research projects. Examinations of this type must be registered with the Examinations Office.
- In the "Registration Info" field, the date must be designated as an exam where online registration is not possible.
- The correct spelling is important! Registration deadlines are automatically set to the past by a script.

Reserving Rooms for Exam Dates
Open the editing screen for a new examination date as described above.
To reserve a room, you must enter a date along with the start and end times of the examination in the “Dates” section of the template.
When reserving lecture halls, please note the time slots specified by the lecture hall team for room requests:
8:00 a.m. - 10:00 a.m.
12:00 p.m. - 2:00 p.m.
4:00 p.m. - 6:00 p.m.
Click on the link "New Room Reservation" under Location(s) at the bottom of the editing template.
The start and end times are automatically applied but must be manually adjusted to include a 30-minute preparation and follow-up time.
Select the desired room, either via the “Resources” drop-down menu or the "Find Free Rooms" button. Then confirm your selection by clicking on the button "Enter Date for This Room".
C@MPUS automatically interprets the changed times as preparation and follow-up. The display in the “Status” column changes to “fixed” as soon as the lecture hall has been approved by the lecture hall team.
Make sure you save the changes.
FAQs on Exam Administration
You need a PIN code to open the “Exam Management” app. When you open the application for the first time, you will receive this in a pop-up window in your browser. Please write this number down. If you have forgotten your PIN code, please contact the study program manager or Division 3 using the contact form. They can reset the pin code and you will receive a new code. You can change this again in the exam management settings.
In order to see and use certain apps in C@MPUS, your authorizations must be stored in C@MPUS. You can only access the relevant apps if your role(s) or authorization(s) are correctly stored in C@MPUS. Please take a look at the overview of C@MPUS authorizations. There, under the individual topic (rooms, examinations, courses, modules), we have listed which roles have which authorizations. Then check in the “My Authorizations” app whether the required authorizations have been entered correctly. If this is not the case, please contact the contact persons listed there to clarify your request.
If a fail grade has been marked as valid, you will no longer be able to modify the grades yourself. In such cases, please contact the Examinations Office. You can send a PDF file with the names, student ID numbers and grade changes to the Examinations Office and the changes will be entered for you. Please do not forget your signature and your institution stamp!
Counting attempts can sometimes be a little confusing. Questions may arise, in connection with counting oral repeat examinations. Therefore, a brief explanation of the system's behavior is provided.
C@MPUS counts every assessed, valid exam attempt. For example, withdrawals due to illness or withdrawals approved by the examination board are not assessed. Non-graded assessments are recorded as “Q - No Assessment” in C@MPUS.
If an oral repeat examination is scheduled, this attempt is not graded initially (as the oral examination has not yet been assessed). The number of exam attempts is only increased after the oral examination has been assessed.
This is necessary because, otherwise, the increase in the number of exam attempts for a repeat oral examination could potentially reach the maximum allowed attempts, resulting in the student being marked as EN (a negative grade).
In such cases, an examination report can only be generated by an authorized person from Division 3. The reason for this is that the student has changed subjects and is no longer enrolled. Please contact the support of Department 3 via the contact form.
It is possible to create the list of candidates via the Excel export and then filter them in Excel.
General information on examination organization, including forms, is summarized on the web pages for students.
