Check and edit exam properties.

Start of the examination organization phase

The examiners and authorized persons are informed by circular email that the examination organization phase has begun. This email contains the most important key data and information on the organization of the examination. The mail is sent out at the end of March for the summer semester and at the end of September for the winter semester. All relevant deadlines and appointments can be found on the page Organization of Studies and Teaching.

Edit Exam Planning Properties

Examination Planning Objects (PPO), which contain the exam planning properties, are copied from winter to winter semester and from summer to summer semester when the semester is transferred and displayed in the exam planning service.

What Needs to be Done?

During the examination organization registration period, the examiner (My Exam Management App - Exam Planning Service), the module coordinator or study program manager (My Modules app) checks the Examination Planning Object (PPO) in C@MPUS with regard to the examination mode (decentralized/centralized/examination not held), examination duration, linking with other examinations and any permissible aids.

In the “Exam Planning Service” app, click on the editing pencil next to the respective exam to edit the exam planning properties. This opens a new editing window.

If no examination planning object (PPO) exists for your examination, you can create a new examination planning object (PPO) by clicking on the green plus symbol on the far left. This opens an editing template.

  • Examination organization form: Central (examination is organized by the examination office), decentralized or “will not take place this semester”
  • Title: you can use the editing pen to search for the desired exam and transfer the data if necessary
  • Examiner: Two or more examiners for combined examinations
  • Note Examination Planning Service: Information for the examination office for planning the central date (only visible internally)
  • Aids: are visible to students under “Further details on the exam → Exam Planning Service” in the student app “My Exam Dates” 
  • Note on exam planning: Visible to students under “Further details on the exam → Exam Planning Service” in the student app “My Exam Dates” 
  • Number of external registrations: If students not managed in C@MPUS are taking the exam, please enter how many.
  • Sorting by letter: activate if desired

Important Information

Please check your exams to ensure that the following conditions are met:

  • An examination planning object (PPO) must exist for every centralized, decentralized and exams not currently taking place.
  • Central examination dates are the responsibility of the Examination Office. Examiners or authorized persons are solely responsible for decentralized examination dates.
  • Joint Examination: Module coordinators create a joint examination planning object (PPO) for two or more examiners. This allows all designated examiners and authorized persons to access the object. Only one joint examination date is created.
  • Neither examination planning objects (PPO) nor examination dates are created for final theses or key competency courses (SQ).

FAQs on Exam Administration

You need a PIN code to open the “Exam Management” app. When you open the application for the first time, you will receive this in a pop-up window in your browser.  Please write this number down. If you have forgotten your PIN code, please contact the study program manager or Division 3 using the contact form. They can reset the pin code and you will receive a new code. You can change this again in the exam management settings. 

In order to see and use certain apps in C@MPUS, your authorizations must be stored in C@MPUS.  You can only access the relevant apps if your role(s) or authorization(s) are correctly stored in C@MPUS. Please take a look at the overview of C@MPUS authorizations. There, under the individual topic (rooms, examinations, courses, modules), we have listed which roles have which authorizations. Then check in the “My Authorizations” app whether the required authorizations have been entered correctly. If this is not the case, please contact the contact persons listed there to clarify your request.

If a fail grade has been marked as valid, you will no longer be able to modify the grades yourself. In such cases, please contact the Examinations Office. You can send a PDF file with the names, student ID numbers and grade changes to the Examinations Office and the changes will be entered for you. Please do not forget your signature and your institution stamp!

Counting attempts can sometimes be a little confusing. Questions may arise, in connection with counting oral repeat examinations. Therefore, a brief explanation of the system's behavior is provided.

C@MPUS counts every assessed, valid exam attempt. For example, withdrawals due to illness or withdrawals approved by the examination board are not assessed. Non-graded assessments are recorded as “Q - No Assessment” in C@MPUS.

If an oral repeat examination is scheduled, this attempt is not graded initially (as the oral examination has not yet been assessed). The number of exam attempts is only increased after the oral examination has been assessed.

This is necessary because, otherwise, the increase in the number of exam attempts for a repeat oral examination could potentially reach the maximum allowed attempts, resulting in the student being marked as EN (a negative grade).

In such cases, an examination report can only be generated by an authorized person from Division 3. The reason for this is that the student has changed subjects and is no longer enrolled. Please contact the support of Department 3 via the contact form.

It is possible to create the list of candidates via the Excel export and then filter them in Excel.
