Enter Placement into a Higher Academic Semester (Instructions)

Assessment and placement of applicants into a higher academic semester (Bachelor’s degree programs), including check of the right to admission to examinations by the examination committee.

Examination committees assess the prior academic achievements of applicants applying for placement in a higher academic semester, evaluate their transferability to the desired study program, and place applicants in the appropriate semester.

As part of this placement process, examination committees also review whether the applicant’s right to admission to examinations is still valid, or whether a previous loss of the right to admission to examinations (usually in another study program) is relevant for the desired study program and therefore requires rejection of the admission application.

Depending on the outcome of the placement and any additional evaluations of the application (NC procedure, entrance examination), either admission or rejection will follow.

Instructions: Placement into a Higher Academic Semester

1. Access of the app Applications – Examination Committee

Access via the app “Applications – Examination Committee” and entry of the organization in the organization filter. The basic view opens.

For the semester selected, all applications that need to be processed by the examination committee are displayed. This filter is preset.

2. Process Applications for Higher Academic Semesters

You can identify applications for a higher academic semester by the following indicators: a yellow exclamation mark under the status of formal entry requirements (FOVS) meaning “Under review”, and a gray question mark under admission status (ZUL), meaning “Admission not yet processed”.

3. Open application – Application view

Then click on the application number of the application. The application view of an application will open.

4. Review of Information and Documents “For Admission”

In the “For Admission” section, review the following:

  • The text field entry “Details on definitively failed examinations”. Clicking the magnifying glass icon displays the applicant’s information.
  • the document “Transcript of records, including passed and failed exams (Application)”

5. Entry of the document status

After reading the text field entry “Details on definitively failed examinations”, enter the document status as “OK”.

If the transcript uploaded is sufficient for your review and processing, enter the status “OK” here.

If the uploaded transcript is not sufficient for your review and processing, enter the status “not OK” here, and select the appropriate error code from the list of error indicators. You can display the error message text by clicking the blue info icon. Alternatively, you can select the free text entry to enter a custom error message using the pencil icon.

Click Save to confirm your entries.

The applicant will be informed by e-mail and may upload revised documents within the application deadline. Please check regularly to see whether the applicant has uploaded corrected documents.

If the documents in the “Transcript of Records” section are sufficient for processing, continue reviewing the application.

Final Processing in Case of Document Status “not OK”/Evaluation Not Possible:
If, by the end of the application deadline, no documents have been submitted that allow you to decide on the right to admission to examinations or placement in a higher academic semester, please enter the appropriate evaluation based on the situation (right to admission to examinations confirmed, not confirmed, or cannot be determined along with placement in the 1st semester because placement into a higher academic semester is not possible based on the documents submitted). Then carry out the steps described below accordingly.

6. Check and entry of the right to admission to examinations

After completing the review of the applicant’s information and documents, please first enter the right to admission to examinations.

Select “Right to admission to examinations confirmed”, and proceed with Step 7.

Depending on the outcome of your placement decision, either a rejection or an admission will be issued.

If the right to admission to examinations (for the chosen study program) is not confirmed, select “Right to admission to examinations not confirmed” under the “Actions” section, and save your entry by clicking the “Make decision” button. The processing of this application by the examination committee is then complete. As a result, the BZE department will issue a rejection because of missing right to take examinations.

If it is not possible to make a final decision on a right to admission to examinations from the documents (e.g., because an examination result is still pending), select “Right to admission to examinations cannot be determined” and proceed to Step 7: “Entry of the Placement”.

Depending on the outcome of your placement decision, either an admission or rejection will be issued under the condition that the right to admission to examinations is confirmed. In the case of a conditional admission, the right to admission to examinations for this application must be reviewed again by the examination committee as part of the enrollment process (see instructions: Verify right to admission to examinations for Enrollment).

Click Save to confirm your entries!

7. Entry of placement

In the “Basic application data” section, enter your placement decision by specifying the assigned semester in the “Assigned semester” field.

You may select any semester as appropriate. If enrollment in the semester you selected is not possible (e.g., enrollment in the 1st semester during the summer semester), the BZE department will reject admission with an appropriate explanation.

8. Enter recognitions and notes

  • Recognition: If applicable, enter the module name, module title, and grade here as well as a note about any failed attempts.

Please note: If you do not enter any recognitions as part of the placement, the following text will appear in the notification: “Details on Recognitions:
You may apply for recognition of coursework after enrollment in accordance with the examination regulations of the requested study program/subject < DEGREE PROGRAM>”.

  • Please note: This is a text field where you can enter custom content.
  • Additional graded assessments: Click “Yes” if the orientation examination has already been completed or is recognized.

Click Save to confirm your entries!

9. Review of the “Notification on Placement”

You can preview the “Notification on Placement” at any time via “Show notification” in order to check the formatting of your entries on the notification.

10. Make decision

When processing is complete, everything has been recorded, and all information is correctly included in the notification, click “Make decision” to finalize the application.

Please note: By clicking “Make decision”, your entries are saved permanently and can no longer be changed. If it becomes necessary to reset the decision, please contact the BZE department. The case can be reset to “Decision required”, allowing you to make changes again.

After the final “Make decision”, the digital notification will be placed in the applicant’s student file overnight. The applicant will receive an e-mail informing them that the notification is now available.

Please note: If you temporarily save applications with a decision on right to admission to examinations, they will no longer be listed with the filter setting “Right to admission to examinations = Unknown” 

Background Information – What Happens Next?

The BZE department accesses this “Notification of Placement” in the student file and then proceeds with either admission or rejection accordingly.

After entry of “Right to admission to examinations not confirmed”
  • The BZE department sets the status of the formal entry requirements (FOVS) to “not met” and the admission status (ZUL) to “rejected”.
  • The BZE department issues a letter of rejection.
After entry of the placement and “Right to admission to examinations confirmed”
  • The BZE department checks whether admission to the semester requested in the placement decision is possible. If approved, the status of the formal entry requirements (FOVS) is set to “fulfilled” and admission is granted.
  • If admission is not possible, a rejection with the corresponding reason is issued.
  • The BZE department issues a letter of admission or rejection.
After entry the placement and “Right to admission to examinations cannot be determined”
  • The BZE department checks whether admission to the semester requested in the placement decision is possible. If approved, the status of the formal admission requirements (FOVS) is set to “fulfilled” and admission is granted.
    As part of the enrollment process, the BZE department requests a renewed review of the right to admission to examinations by the examination committee. (see instructions: Verify Right to admission to examinations for Enrollment)
  • If admission is not possible, a rejection with the corresponding reason is issued.
  • The BZE department issues a letter of admission or rejection.

 

The applicant accepts the study place in C@MPUS (study place acceptance), enters additional data for enrollment, and uploads further documents required for enrollment in C@MPUS. By submitting the data, the applicant formally applies for enrollment.

The BZE department reviews the enrollment documents and completes the enrollment provided that the right to admission to examinations has not been lost in the meantime. Otherwise, a renewed review of the right to admission to examinations is required as part of the enrollment process. 

The Student Services and Examination Office (SSP) accesses all “Notifications of Placement” in the student file for enrolled applicants and records the recognized achievements listed in the notifications.
